Terms & Conditions


ProInfinity Coaching Ltd and ProInfinity Education CIC (Basecamp) are Ofsted registered providers of childcare and children’s activities. The Director is Jon Coppen.

All our staff are DBS checked and our management and key staff are qualified in Paediatric First Aid and Safeguarding & Protecting Children, there is always at least one member of trained staff at each session. All coaches are qualified to a minimum of Level 2 in their specialist activity.


BOOKINGS:

All bookings must be made via the Class4Kids portal in advance of your booking. We do not take ‘on-the-day’ payments by cash or card. If you do not pay in advance, your child/ren may be refused access to the activity.

By making a booking you are agreeing to the terms & conditions set out in this document.

On completion of your booking, your child/ren’s name will be added to the relevant register and you will receive an email confirmation. You can access and review your bookings by logging on to our bookings page using your www.class4kids.co.uk log-in. Once you have received confirmation, no further action is required, and you will not receive any further communication to confirm your booking.

In the unlikely event that you do not receive a confirmation and would like to check if the booking has been made, please check your online account in the first instance. If you do not see the booking online, please contact the relevant number from the contact details at the bottom of this document.

By making a booking you are automatically granting your child/ren permission to take part in our activities. It is the Parent/Carer’s responsibility to inform us of any illness or condition that may limit your child/ren’s ability to take part.


PAYMENT:

All payments must be made online via: http://basecamp-at-the-bridge.class4kids.co.uk orIhttp://proinfinity.class4kids.co.uk We also accept Childcare vouchers (please contact Proinfinity or Basecamp to find information of which ones we accept before making the booking). You can also make a direct bank transfer, but you will need to advise ProInfinity/Basecamp by email (below) that you are using this payment method. Please do not direct any payment enquiries to our on-site staff. Payment enquiries can be made to the relevant contact emails below. We cannot accept any payments in CASH or on the day of the session.


DAY OF BOOKING:

The child/ren must be dressed appropriately for the activity. We advise weather appropriate clothing including hats, gloves and waterproof clothing. ProInfinity Coaching Ltd and ProInfinity Education CIC do not accept any liability for the loss of or damage to any personal property belonging to the children attending our clubs. We strongly advise that possessions are limited to a packed lunch and water bottle (where required) and spare clothing/weatherproof clothing. All clothing, lunch bags and personal belongings should be labelled with the child’s name.


DROP OFF AND PICK UP:

Parents/Carers are advised that dropping off their child/ren before the time of the booking is not accepted. Our insurance does not allow children to be present on site outside of our working hours. Parents/Carers should remain with their child/ren until the start time of their booking.

Parents/Carers MUST escort their child/ren to the venue entrance and be present when signing in, unless otherwise agreed by email with ProInfinity/Basecamp. We have a duty of care to your child/ren once they are signed in and not before.

At the end of each session, Parents/Carers must notify the Lead Staff Member on arrival that they are taking their child/ren, so that they can be signed out accordingly. Our staff need to be able to see the Parent/Carer before allowing the child/ren to leave the premises.

ProInfinity/Basecamp must be notified if another person, other than those mentioned on your booking, are collecting your child/ren. This can be done verbally for Basecamp/Holiday Camps to the Head Staff Member or by using the relevant phone number at the bottom of this document. An email confirmation is needed for this too. For After School Clubs, where the activity is within a school, please email ProInfinity, so that we can make the relevant coach aware.

If you give permission for your child/ren to travel home on their own (without an authorised adult) then this must be in the form of written permission prior to the relevant day. We only allow children in Year 6 to do this. Telephone/text permission will not be accepted.


LATE COLLECTION:

If you are running late to collect your child, please inform the relevant contact at the bottom of this document by phone (if it’s an After School Club within a school, the school office is where you need to call). For any child/ren uncollected after the scheduled finish time of the club without communication from a Parent/Carer, the following actions will be applied:

If non collection for Full Day Club hours (maximum 15 minutes waiting time) the Parent/Carer will be charged for the Extended Day service (to be paid on the same day)

If non collection after the Extended Day hours, Parents/Carers and any Emergency Contacts detailed on the Contact Information Sheet and/or original booking form will be telephoned. Our staff will stay with the child/ren until an authorised adult arrives to collect them. On arrival of an authorised adult, the Parent/Carer will be charged £5 for every 15 minutes (to a maximum of 1 additional hour or £20).

If we fail to make communication with any of the contacts listed above and the child/ren has not been collected 1 hour after the end of the original booked time, Social Services and the local police station will be contacted. At this point, the responsibility of the child/ren will no longer be that of ProInfinity/Basecamp.

Failure to notify ProInfinity/Basecamp of your lateness may result in additional administration, venue hire and staff fees. You will be notified of this in writing and the fee must be paid in full before you will be allowed to rebook another activity.

Consistent lateness may result in your remaining booking dates being terminated. If this does occur you will be given a full refund for the remaining dates.


AMENDMENTS AND CANCELLATIONS:

For all After-School and Breakfast Club activities, a minimum notice of 6 weeks (half a term) is required. No refunds will be offered within the 6-week notice period.

BASECAMP BOOKINGS: If you need to cancel an individual session, please inform us by email at least 24 hours in advance of the session taking place. In certain circumstances, we may be able to offer a credit for the booking.

HOLIDAY CLUB BOOKINGS: Cancellations made less than 1 working day prior to your booking will receive 50% off your next booking (within a one-year period).

If your child is unable to attend due to illness, we are unable to offer a refund but please notify us by text or email using the relevant number/address, so that we can amend our registers.

If your booking has not been pre-paid and you do not notify us of your attendance, a mark will go against your records. The mark will remain if no contact is made over the next 48 hours. Persistent non-attendance without notice may lead to ProInfinity refusing your future bookings.

Cancellation by ProInfinity due to inclement weather will be refunded. Cancellation by Parents/Carers due to inclement weather will not be refunded.

ProInfinity Coaching Ltd and ProInfinity Education CIC (Basecamp) reserve the right to refuse or exclude any person at any time prior to or during a club if, in their opinion, that person is incompatible with the general wellbeing and safe running of the activity. No refund will be given, and any costs incurred, including any damage, will be the liability of the Parent/Carer and they will be required to collect their child/ren immediately.

We pride ourselves on the quality of our staff and their training and experience. Excluding a child will be the last resort should we be unable to resolve an issue with the child/ren and their Parent/Carer.

REFUNDS:

We are unable to issue refunds for sickness or inclement weather. We will issue a refund or a credit if ProInfinity or Basecamp need to cancel the session for reasons out of their control.


PHOTOS AND VIDEOS:

We would like to take photographs and videos of the camps and clubs for our website and promotional material. Please let one of the team know if you would prefer your child not to be featured.


PERSONAL INFORMATION:

The personal information requested on our “Booking Forms” is required to allow our employees to provide professional care. This information will not be shared with persons unconnected to

ProInfinity/Basecamp. It is the Parent/Carer’s responsibility to update ProInfinity/Basecamp with any changes to personal information including home address, email address, contact telephone numbers and medical information or conditions.


CONCERNS/ISSUES:

Should you have any concerns regarding your child/ren’s time at any of our clubs, please in the first instance contact one of the main offices (details at the bottom of this document). Alternatively, please email the ProInfinity Coaching Ltd and ProInfinity Education CIC (Basecamp) Safeguarding and Welfare Officer, Jon Coppen on jon@proinfinity.co.uk. Your concerns will be investigated and responded to as quickly as possible. If you are not satisfied with the action taken and/or reply given, you will be invited to attend a meeting with our company Director.
